Check-Out Report Guide for Letting Agents (UK)
A clear check-out report turns a deposit discussion into a simple comparison. A vague one leads to disputes, complaints and wasted time.
What a professional check-out report contains
- The check-in condition next to the check-out condition for every item
- Photos from the same angle, before and after
- A clear result for each item: no change, fair wear and tear, or damage
- Meter readings and keys returned
- The date, the person who carried it out, and the agency's details
Reduce disputes
- Share the check-in inventory with the tenant on day one and record their agreement
- Use the same checklist at check-in and check-out
- Apportion any claim by age and lifespan
- Keep everything in one report the tenant, landlord and adjudicator can all read

Questions
*General information, not legal advice.*
Can agents charge tenants for check-out reports?
In England, the Tenant Fees Act 2019 bans charging tenants for check-out reports.
How soon after the tenancy ends should the check-out happen?
As soon as possible after the tenant leaves, ideally on the same day, so the condition clearly reflects that tenancy.
What if the tenant disputes the report?
If you can't agree, the deposit scheme's free dispute service decides. A clear before-and-after report with dated photos is the best evidence you can give.
